This Health and Safety policy sets out how Gardeners Kenley manages risks to protect employees, subcontractors, clients, visitors and members of the public during the delivery of gardening and grounds maintenance services. Our aim is to prevent injury, ill health, damage to property and harm to the environment while maintaining professional standards across all sites we work on.

Our Commitment to Health and Safety

Gardeners Kenley is committed to providing and maintaining a safe and healthy working environment. We will identify, assess and control risks arising from our gardening activities, including domestic gardens, commercial grounds and communal outdoor spaces. Health and Safety considerations will form an integral part of planning, supervising and carrying out all work.

We will comply with relevant health and safety legislation and recognised industry good practice. Where reasonably practicable, we will go beyond minimum legal requirements to ensure that our methods, equipment and behaviour support a positive safety culture.

Management Responsibilities

Management at Gardeners Kenley is responsible for implementing and reviewing this Health and Safety policy. This includes:

Ensuring that suitable risk assessments are carried out for typical gardening tasks such as lawn care, hedge cutting, planting, tree work within our competence, use of powered machinery and application of approved products. Providing appropriate tools, machinery and personal protective equipment that are fit for purpose, well maintained and used correctly. Making sure employees receive adequate information, instruction, training and supervision for the tasks they perform. Investigating accidents, incidents and near misses to identify causes and prevent recurrence. Reviewing this policy periodically and whenever there are significant changes in activities, equipment or legislation.

Employee Responsibilities

Every employee and subcontractor working on behalf of Gardeners Kenley has a duty to safeguard their own health and safety and that of others who may be affected by their actions. Individuals are expected to:

Follow all safe systems of work, instructions and training given. Use machinery, tools and any protective equipment correctly and report defects immediately. Keep work areas tidy and free from avoidable hazards such as trailing cables, misplaced tools or unsecured waste. Report accidents, incidents, near misses and any health and safety concerns to management without delay. Never misuse equipment or take unnecessary risks that could endanger themselves or others.

Risk Assessment and Safe Working Practices

Before work begins, an assessment of the site and tasks will be carried out to identify potential hazards such as uneven ground, poor lighting, traffic routes, overhead services, underground services, water features, slopes or unstable structures. Control measures will be implemented to reduce risks to an acceptable level.

Safe working practices include, but are not limited to, the following principles. Use only trained personnel for operating powered equipment such as mowers, trimmers, blowers, chainsaws and shredders. Secure work areas where necessary to prevent unauthorised access, especially when machinery is in use. Stop work immediately if conditions become unsafe, for example due to extreme weather or unforeseen structural risks, and reassess before continuing. Take particular care in residential areas and shared outdoor spaces, where children, pets and passers-by may be present.

Machinery, Tools and Equipment

All machinery and tools used by Gardeners Kenley will be suitable for the task, serviced regularly and inspected before use. Safety devices, guards and cut-off switches will never be removed or bypassed. Only persons who have received appropriate training and authorisation will operate specialist machinery or equipment.

Fuel, oils and other substances will be stored and handled safely to minimise fire risks, spills and environmental harm. Defective or damaged equipment will be taken out of use immediately and clearly identified until repaired or replaced.

Personal Protective Equipment

Gardeners Kenley will provide suitable personal protective equipment where necessary, based on risk assessment. This may include protective footwear, gloves, eye and hearing protection, high-visibility clothing, respiratory protection or head protection. All employees are required to wear and look after the equipment issued to them, and to request replacements when items are damaged or worn.

Handling, Storage and Use of Substances

Where gardening work involves the use of fertilisers, soil conditioners, weed control products or cleaning agents, we will follow the relevant safety data information and guidance. Only products that are lawful and appropriate for the specific use will be selected.

Substances will be stored securely, transported safely and used in accordance with the manufacturer instructions and any site-specific requirements. Application will be planned to prevent unnecessary exposure to people, pets and wildlife, and to avoid contamination of watercourses and neighbouring properties.

Manual Handling and Ergonomics

Many gardening tasks involve lifting, carrying, digging, pruning and repetitive movements. Gardeners Kenley will seek to reduce manual handling risks by using mechanical aids, sharing loads, and planning work to avoid unnecessary strain.

Employees are trained in safe lifting techniques and are encouraged to work at a sensible pace, take appropriate rest breaks and report any discomfort or early signs of musculoskeletal problems. Heavy or awkward items such as large pots, bags of materials and equipment will be assessed before being moved.

Protection of the Public and Clients

We recognise our responsibility to protect clients, visitors, neighbouring residents and the general public from risks created by our work. Measures may include clear communication with clients about planned tasks, noise and access arrangements, use of warning signs or barriers where there is a risk from machinery, open excavations or falling debris, and scheduling high-risk tasks for times that minimise disruption and exposure.

Vehicles will be parked considerately and safely, with attention to visibility, access routes and emergency exits. Waste and arisings from gardening work will be managed and removed responsibly to avoid trip hazards, nuisance or environmental harm.

Training, Communication and Review

Gardeners Kenley will provide ongoing training and instruction to ensure that employees understand their responsibilities and are competent to carry out their tasks safely. Health and Safety information will be communicated clearly through inductions, briefings and site discussions.

This policy will be reviewed at regular intervals and updated as necessary to reflect changes in our gardening services, working methods or legal requirements. All employees are expected to familiarise themselves with the latest version and apply it in their daily work.
